2. Information we collect
Depending on how you use the service, we may collect:
- Booking details: your full name, email address, phone or WhatsApp number, apartment, stay dates and number of guests.
- Booking communications: messages, requests and, for bookings recorded by the manager, relevant private booking notes and the source of the booking.
- Payment records: transaction reference, amount, currency, payment status, payment time and limited provider response details. Paystack handles the payment credentials used at checkout; Maya Homes does not receive or store your full card or mobile-money credentials.
- Website information: page views, referrer, general location, browser/device information and performance measurements collected through Vercel Web Analytics and Speed Insights. The analytics used on the public website are designed to be aggregated and do not use third-party analytics cookies.
- Manager account information: the authorised manager's email address and essential authentication/session information used by Clerk to protect the private dashboard.
3. How and why we use information
We use personal information to:
- check availability, prepare a quote, hold dates and administer a booking;
- process and verify payments, prevent duplicate reservations and investigate failed or disputed transactions;
- communicate about arrival, departure, changes, support and guest requests;
- operate and secure the manager dashboard and reservation database;
- maintain accounting, tax, tourism and other records required by law; and
- understand website performance and improve the guest experience.
We process this information where it is needed to take steps at your request or perform a booking contract, meet a legal obligation, protect our legitimate interests in operating a safe and reliable service, or where you have given consent.
6. How long we keep information
We keep information only as long as needed for the purposes above. Booking, guest, payment, tax and tourism records may need to be retained for at least five years where Ghanaian law requires it. We may keep relevant records longer where a dispute, investigation or other legal duty makes that necessary. Enquiries that do not become bookings are kept only as long as needed to answer and follow up. At the end of the relevant period, information is deleted or anonymised where reasonably possible.
7. Security
We use access controls, encrypted connections, protected server-side credentials and a restricted manager account to safeguard booking information. No online system is completely risk-free, so please contact us promptly if you believe your information or booking has been misused.
8. Your rights
Under Ghana's Data Protection Act, 2012 (Act 843), you may have the right to be informed about our processing, request access to your personal information, correct inaccurate or incomplete information, object to or ask us to restrict certain processing, and request deletion or destruction where we no longer have a lawful reason to retain the information. You may withdraw consent where processing depends on consent. Some requests may be limited by legal record-keeping duties or the rights of another person.
We may ask for enough information to confirm your identity before acting on a request. You may also raise a concern with Ghana's Data Protection Commission.
9. Children
A person making a booking must be at least 18 years old. A parent or guardian should provide any information needed for a child travelling in their care. The website is not intended to collect booking information directly from children.
